This free template gives you a ready-made list for every renewal your business has. It works in Excel, Google Sheets or any spreadsheet app. It calculates days left, colors items as they get close, and uses the same columns as Renew Clock's importer, so you can move over later without retyping anything.

Filling it in, step by step

1. Walk through your categories

Use these prompts so you don't miss anything:

  • Government: business license, sales tax permit, health permit, liquor license, signage permit, fire inspection certificate, annual report filing
  • Insurance: general liability, property, commercial auto, workers' compensation, professional liability, cyber
  • People: professional licenses, certifications, driver's licenses for staff who drive for work
  • Vehicles: registrations, inspections, insurance cards
  • Contracts: lease, service contracts, equipment leases, maintenance agreements
  • Digital: domain names, website hosting, software subscriptions, SSL certificates
  • Equipment: warranties, service contracts, calibration certificates

2. Record the lead time

Some renewals take five minutes online. Others need an inspection, a background check or weeks of processing. Write the lead time in Renewal notes, and plan your first reminder before it.

3. Assign one owner per item

"The office" is not an owner. Put a name.

4. Save the current document

Link to the PDF in your shared drive so whoever renews it can see the old one.

Keeping a spreadsheet tracker alive

A template only helps if someone looks at it. A few habits help:

  • Put a monthly 10-minute review in someone's calendar
  • Sort by days left every time you open it
  • Update the expiry date and document link the same day you renew
  • Archive old rows to a second tab rather than deleting them

Where spreadsheets fall short

The sheet can't email anyone. It can't tell you that a reminder went unread, and it can't roll the date forward when you renew. That's fine for a short list with a diligent owner. When the list grows, or more people are involved, the reminders become the weak point.

Moving to Renew Clock

The template's columns match our CSV importer. Export to CSV, upload, check the preview and confirm. Each row becomes an item with its owner, reminder schedule and calendar entry. Up to 15 items are free.

Questions

Does the template work in Google Sheets?

Yes. Use the "make a copy" link and it opens in your Google Drive with formulas and colors intact.

Can I add my own columns?

Of course. Extra columns are ignored by our importer, or mapped to custom fields on the Pro plan.

What date format should I use?

Any format your spreadsheet recognizes as a date. For importing, YYYY-MM-DD is the safest.
