License renewal reminder calendar
Free for 15 items.
Add each license and its expiry date. Pick how much warning you want, or use our suggested lead times for common license types. Download one calendar file and import it into Google Calendar, Outlook or Apple Calendar. Each license gets a set of reminder events ahead of its due date.
Suggested lead times
Different licenses need different amounts of warning. These are cautious starting points. Always check your issuing office's actual processing times.
| License type | First reminder | Why |
|---|---|---|
| Local business license | 60 days | Some cities require a tax return or updated information first |
| State professional license | 90 days | Continuing education hours may need to be completed before renewal |
| Contractor license | 90 days | Bonds and insurance often need renewing at the same time |
| Health or food permit | 60 days | An inspection may be needed |
| Liquor license | 120 days | Longer processing and sometimes public notice |
| Sales tax permit | 60 days | Some states renew automatically, some don't; confirm yours |
| Driver's license for staff | 60 days | Appointments can be booked out for weeks |
| Fire or occupancy certificate | 90 days | Needs an inspection visit |
The generator adds follow-up reminders at 30, 14 and 7 days by default.

The weak spots of calendar reminders
Calendar files are a good free option. Be aware of their limits:
- They're one-off. Each event fires once. If you dismiss it, it's gone.
- They don't know you renewed. After you renew, you'll need to generate next year's reminders yourself.
- They're tied to one calendar. If the person whose calendar holds them leaves, the reminders leave too.
- There's no paper trail. The calendar doesn't hold the license itself or a record of who renewed it.
Building a renewal habit
Whatever tool you use:
- Keep a single list of every license, with who owns it
- Store a copy of each current license where the team can find it
- Note the renewal steps and costs so the next person doesn't start from scratch
- Review the list every quarter
When to move up from a calendar
If you track licenses for several staff, several locations, or anything where a lapse means you have to stop work, consider a tracker that keeps reminding until someone marks the item renewed. Renew Clock does that, holds the document, rolls the date forward when you upload the new one, and still gives you a calendar feed so dates appear where you already look.
Questions
Can I edit the reminders after importing?
Yes, like any calendar event. Changes won't sync back to the generator.
Does this store my data?
The file is generated in your browser session. We don't keep your license list unless you create an account.
Is there a limit on licenses?
Up to 25 per file. Make a second file for more.
